These Terms and Conditions (“Terms”) govern your use of services provided by Code Pi Limited (“we”, “our”, “us”), a company registered in the United Kingdom, operating both in-person in Bristol and online. By registering for any of our courses, clubs, or workshops, you agree to these Terms.

Services Provided

Code Pi Limited offers:

• Coding & Robotics Club for children and young people. 
• STEM-based after-school workshops and holiday clubs. 

Bookings & Payments

• All bookings must be made in advance via our website.
• Payment must be made in full at the time of booking or within 7 days of receiving the invoice.
• Prices are displayed on our website and may change from time to time.

Refunds & Cancellations

• After-School Clubs: Our clubs run throughout the year, across every term. If you wish to withdraw your child, we require at least one week’s notice to be eligible for a full refund.
• Workshops or Holiday Clubs: Full refund will be issued if cancellation is made at least 48 hours before the start of the session.

• If Code Pi Limited cancels a session, course, workshop, or club, a full refund will be issued or an alternative date offered.

Behaviour Policy

We are committed to creating a safe and respectful learning environment. All participants are expected to:

• Treat staff and peers with respect
• Refrain from any form of discrimination, bullying, or offensive behaviour
• Follow the instructions and rules given by tutors or club leaders

We reserve the right to remove any student from an activity or session if behaviour is inappropriate. No refund will be issued in such cases.

Safeguarding & Child Protection

We follow safeguarding procedures in line with UK guidance.

• All staff are DBS-checked and trained in safeguarding.
• Children will not be left alone with a staff member out of sight of others.
• Parents/guardians must provide accurate emergency contact details.

Photography & Media

• We will never take photographs or videos of children for marketing or documentation without prior parental consent.
• You will be asked for permission during the registration process.

Data Protection & Privacy

We comply with the UK GDPR and Data Protection Act 2018.

• Personal data is collected only for the purpose of course administration and safeguarding.
• Data is stored securely and not shared with third parties without your explicit consent, unless required by law.

Liability

• We take all reasonable care to ensure our services are delivered safely and effectively.
• However, we are not liable for any loss, injury, or damage arising from participation, unless caused by our negligence.

Changes to These Terms

Code Pi Limited reserves the right to update these Terms from time to time. Any changes will be posted on our website with a revised “Last Updated” date.
